Understanding the Activities section
The Activities section has been expanded to include both Tasks and Logs, and it now takes a place in the main menu. The daily work of the agency and the agents can be managed more efficiently knowing the actions that have already been done (Logs) as well as the actions to be done in the future (Tasks).
About the Tasks:
- Create Unlimited Tasks: Never miss a follow-up or client interaction with the ability to create as many tasks as needed for clients, property owners, collaborators, and more.
- Recurring Tasks: Once a task is completed, a new one will automatically be generated based on the set interval, ensuring no task is forgotten.
- Customisable Recurrence: Each task can have a configurable recurrence period and appearance in the calendar.
- Task Assignment: Every task has a responsible user assigned.
- New Follow-Up Task Type: A new activity/task type called “Follow-up” is now available.
- Follow-Up Tasks also for Leads: Admins can now configure automatic follow-up tasks for specific types of contacts (e.g., Buyers, Owners). These tasks will be assigned to the responsible agent with a defined deadline and recurrence period.
- Auto-Creation of Follow-Ups: Whenever a new lead is assigned to an existing contact, an automatic follow-up task will be generated.
- Task Status: Tasks can be marked as Pending or Completed.
- Multi-Related Tasks: Tasks can now be related to multiple Contacts, Properties, Developments, Users, or Bookings, giving you robust tracking functionality.
- Efficient Task Search: Easily search for tasks, with pending tasks prioritized for improved management. Reporting is also available.
- New Task Widget on Dashboard: A new widget shows the user’s pending and overdue tasks for the current day.
About the Logs:
- Automatic Logging: Every action, whether related to task fulfillment or not, is now automatically logged.
- Activity Logging Across Entities: Log activities for Contacts, Properties, Developments, and Bookings.
- Custom Activity Types: Admins can create new activity types in Settings, which can also be used as tasks.
- Email Logging: Emails sent and received are now logged as Activities, removing the need to switch to the EmailStore tab.
- Changelog Tab: A new Changelog tab shows all changes made to an Activity, including when and by whom.
New Timeline view for Tasks / Activity Logs
- Timeline for Key Entities: Contacts, Properties, Developments, and Bookings now have a Timeline view to display Activities and Tasks.
- Chronological Overview: The Timeline provides an instant overview of all pending tasks and logged activities, answering questions like “What’s happening with this Buyer?” with ease.
- Table View and Reporting: You can also switch to a table view of logged activities with reporting options.
New Conversations Feature in Activities
- Mention Users and Groups: You can now mention users or groups within any Activity’s comments.
- @Mentions: Use “@” to access users and groups.
- Notifications for Mentions: Mentioned users and groups will receive notifications with direct links to the Activity.
