Understanding the Activities Section: Tasks vs. Logs

Managing your daily work becomes much easier when you understand the difference between Tasks and Logs in the Activities section. Think of them as two sides of the same coin:

  • Tasks focus on the future – what needs to be done.
  • Logs focus on the past – what has already been done.

Both are now accessible from the main menu, giving you a complete view of your agency’s activity at a glance.

What Are Tasks?
Tasks are your personal assistant for staying on top of things. They help you keep track of what needs to happen next, whether it’s following up with a client, scheduling a property tour, or managing team responsibilities.
Key Features of Tasks:

  • Unlimited Tasks: Add as many tasks as you need for clients, property owners, and collaborators.
  • Recurring Tasks: Set tasks to repeat automatically, so you never miss a follow-up.
  • Custom Recurrence: Adjust the frequency of recurring tasks based on your needs.
  • Assigned Responsibility: Every task has a clear owner, ensuring accountability.
  • Follow-Up Tasks for Leads: Automatically generate follow-up tasks for new contacts or specific contact types (e.g., Buyers, Owners).
  • Multi-Related Tasks: Link tasks to multiple Contacts, Properties, or Bookings for efficient tracking.
  • Status Updates: Easily mark tasks as Pending or Completed to stay organized.
  • Task Widget on Dashboard: See your day’s priorities at a glance with a widget showing pending and overdue tasks.

What Are Logs?
Logs act as your activity history, automatically recording every action taken. They help you track what’s been done, by whom, and when – no manual input required.
Key Features of Logs:

  • Automatic Logging: Every action (tasks, emails, updates) is captured without extra effort.
  • Activity Across Entities: Logs include Contacts, Properties, Developments, and Bookings. While many logs are created automatically, you can also add logs manually to ensure all relevant activities are recorded.
  • Email Tracking: Emails sent and received are automatically added to the log.
  • Custom Log Types: Admins can create new activity types tailored to your needs.
  • Changelog for Activities: See a full history of changes made to any activity.

The Timeline: Bridging Tasks and Logs
To give you the complete picture, the Timeline View combines both Tasks and Logs for each contact, property, or development:

  • View past activities (Logs) and upcoming actions (Tasks) in chronological order.
  • Quickly answer questions like, “What’s happening with this Buyer?”
  • Switch to a table view for easier reporting and data analysis.

By using Tasks and Logs together, you can efficiently manage your daily work:
